Online Meetings with Microsoft Teams and Bookings

Microsoft Bookings can be configured to automatically create separate Teams video conference links for each appointment created with the service. This option can be a convenient, FIPPA-compliant alternative for schools scheduling remote Parent Teacher Conferences (Note: parents are under no obligation to have a Microsoft account or download the Teams app to use this service). Educators will use their Outlook Calendar to join these online meetings, as described in the Reviewing your Appointments section on this page. As the meeting’s host the educator can use the stand-alone Teams app (compatible with all Windows and Mac systems) or the browser-based version which can run on Chromebooks as well as Mac and PC.

How it Works

Office staff will set up the Bookings service for Parent Teacher conferences as documented here. The only difference is that the Add online meeting toggle is switched on.

What the Parent Sees

The confirmation email to parents will include a Teams meeting link, and an .ics file. The .ics file creates an event in their default calendar if clicked/tapped. The link below will open a Teams meeting. Parents should be advised to save this email, and/or click the .ics file to add it to their calendar.
